Mentions from the "Mentions" feed can be exported to a file in one click — for a report to management, an archive or further work in Excel. All generated files are also stored in the "Downloads" section, from which you can download them again.

How to export mentions from the feed

  1. In the "Mentions" feed, set up exactly what you need to export: the period in the top right corner, the feed page, filters, status (for example, only "Favorites") and the "Duplicates" switch.
  2. Click the ⬇ download icon (1) in the panel above the feed.
  3. In the "Download Publications" window, select a template (2):
    • Default — a standard report with a list of mentions;
    • Media analysis: Mentions, Tone, Dynamics;
    • Media landscape: Reputation. Trends. SoV — these two templates are only available if they are enabled for your workspace (as part of your plan or as a separate option);
    • your own templates, if you have created them (see the article "Report Templates: How to Customize the Look of a Report").
  4. Select a format (3): PDF, HTML, ZIP, XLS or DOCX.
  5. Click "Download".

The "Download Publications" window: the ⬇ icon in the feed toolbar, "Choose Template" and "Choose Format" (PDF, HTML, ZIP, XLS, DOCX), "Download" button

The file includes mentions according to the current filters and period. If you need duplicates (reprints), turn on the "Duplicates" switch in the feed before exporting — otherwise the report will be generated without them.

Which format to choose

Format When it is convenient
PDF A finished document for sending or printing.
HTML A web page that is convenient to view in a browser and forward.
DOCX A Word document that can be edited.
XLS An Excel table for sorting, filtering and calculations.
ZIP An archive with the report files.

The "Downloads" section

Generated files — both feed exports and search result exports — are stored in the "Downloads" section. To open it, click "Downloads" in the top menu.

The "Downloads" section: "Search by name", "Format", "Date of receipt" and "Status" filters, the table of exports, "Done" status and the "Download" button

# Element What it is for
1 "Search by name" Find a file by report name.
2 Filters "Format" (PDF, HTML, DOCX, XLS), "Date of receipt", "Status" (All, Done, Error, Pending).
3 Columns Received (date and time of generation), Report name, Format, Period covered by the export, Status. Sort with the arrows next to the column names.
4 Status "Done" — the file can be downloaded; "Pending" — the file is still being generated; "Error" — the file could not be generated.
5 "Download" Download the file to your computer.

The report name shows where the export came from: "Manual download of mentions" — from the feed, "Download of mentions from Search" — from the "Search" section.

Frequently asked questions

The file takes a long time to download. What should I do?

Large exports take longer to generate. Open the "Downloads" section: while the status is "Pending", the file is still being prepared. When the "Done" status appears, click "Download".

Some mentions are missing from the file.

Check the period, filters, feed page and mention status, as well as the "Duplicates" switch — the file includes only what matches the current feed settings.

The status is "Error". What should I do?

Try generating the export again, perhaps for a shorter period. If the error repeats, write to the support chat.

How do I receive a report automatically, without manual exporting?

Set up a scheduled report in the "Reports" section — it will arrive by email on a schedule. Learn more in the article "Scheduled Reports: How to Set Up Automatic Email Delivery".

If you need more help, write to the support chat or contact your manager.
